In this crucial role, you will ensure that our cooperative follows the Personal Information Protection Act (PIPA), its principles, and our personal information protection policy. Responsibilities
- Review the co-op’s policies and practices for dealing with personal information.
- Make recommendations to the Board to help the co-op comply with PIPA.
- Provide information to members and the public about how the co-op protects personal information.
- Handle complaints as outlined in the personal information complaint procedure.
- Report to the Board with periodic updates and present reports to the general meeting.
- Collaborate with the Board and management to ensure the secure storage and proper destruction of personal information.
- Facilitate access to personal information for individuals upon written request and ensure corrections are made as needed.
- Provide support to volunteers on following personal information protection practices.

In this essential role, you will be responsible for maintaining the records of the cooperative and ensuring that we comply with government laws and our own rules and policies. No prior experience is required – just bring your enthusiasm and commitment to supporting our cooperative's governance!
Responsibilities:
- Ensure the Co-op obeys government laws and its agreements with governments.
- Verify that the Co-op makes proper reports and files the required notices with relevant government bodies, including the Registrar of Companies and funding agencies.
- Maintain an up-to-date record of the Co-op's rules and any changes to them.
- Ensure the Co-op obeys its own rules, policies, and procedures.
- Keep the minute book up to date and stored securely.
- Ensure the Co-op retains all records required by law.
- Confirm that a quorum of members or directors is present before any decisions are made at meetings.
- Ensure members and directors receive proper notice of meetings.
- Verify that only members move motions and vote during meetings.
- Ensure minutes are taken at all meetings of the members and the Board, and that copies are available promptly.
- Provide members with up-to-date copies of rules, policies, procedures, and committee job descriptions.
- Handle Co-op correspondence promptly.
- Act as a signing officer for the Co-op.

- Extend, maintain, and troubleshoot the Co-op's website, Google Workspace, and Slack to ensure continued operation.
- Set up and retire accounts for directors and committees, ensuring our volunteers have proper access to online services.
- Attract new members to the Co-op by keeping our website functioning and up-to-date with evolving web browsers and devices.
- Debug web pages and fix broken links or images as needed to maintain a smooth user experience.
- Maintain, configure, and troubleshoot the server to guarantee seamless functionality.
- Advise the Board on how our online services can be leveraged to achieve the Board's goals.
- Execute requests from the Board to improve and enhance our online services.
- Bring new ideas to the Board and execute innovative ways for Co-op volunteers to communicate digitally with prospective and existing Co-op members.
